Introduction

Activ Timesheets can be seamlessly integrated with Activ Absence or Activ Appraisals to provide your organisation with an accurate account of the time employees spend on tasks and projects. The electronic record allows enables employees to enter the time they start and end work each task or project on a timesheet. This data output can then be used for client billing as well as payroll processing.

Track the hours each employee works

Activ Timesheets can be added to Activ Absence or Activ Appraisals to give your administrators access to a complete reporting on employee work patterns.

 

This add-on module will add functionality to each employee’s Activ dashboard where the employee can maintain their timesheet of their activity before it is submitted for approval.

 

The system can be configured such that your employees are expected to submit daily, weekly, or monthly timesheets. Prior to submitting the timesheet an employee can add notes to specific dates to provide commentary on any working hours that are out of the standard work pattern.

 

The employee can maintain the timesheet throughout the reporting period saving it as draft with each update until they are ready to submit. On submission the timesheet is presented to the manager for approval. The manager can add their own comments and then either approve or reject the timesheet (even from an email notification).

 

To complete the process HR can run reports on the approved timesheets and even produce Excel exports of the data which can then be used for payroll and any other HR systems.

Integration with Activ Absence

When added to Activ Absence, the system will automatically add any time off to the employee’s timesheet. The system can also be configured that on approval

 

of the employee’s timesheet, the data is used to update the planned work pattern for the employee to the actual hours worked. This will then trigger a calculation of the employee’s annual leave allocation.

 

This can result in a huge time saving on the administration for those organisations where the staff work flexible hours or have zero-hour contracts. The historical work patterns are updated automatically when the timesheets are approved, and the leave accrued to date is calculated.

FAQ's

  • Is it easily accessible to all employees even working from home?

    Yes. Every employee is provided with a username and password to access the module from any device (smartphone, tablet, PC etc) over the internet securely.  

  • Can staff submit their own timesheets for a given period?

    Yes. Staff can be requested to submit daily, weekly, or monthly timesheets. They can also add notes to specific dates to provide commentary on any working hours that are out of the standard work pattern

  • Can timesheets be approved quickly and easily?

    Yes. On submission the timesheet is presented to the manager for approval. The manager can add their own comments and then either approve or reject it (even from an email notification). 

  • Can we produce reports on staff time?

    YesHR can run reports on approved timesheets and analyse staff work time history. 

  • Can we use the timesheets for payroll?

    Yes. The system produces Excel exports of the data which can then be used for payroll and any other HR systems 

  • Can we manage the recording of different work activities?

    Yes, different cost centres can be configured and applied to the appropriate staff. Each staff member will only be able to record time against the cost centres that they have be authorized. 

  • We pay our staff different rates for working evenings and weekends can this be managed?

    Yes, for each cost centre different reporting codes can be applied to different times worked, days worked and/or public holidaysThe staff simply record the times they have worked, then when the timesheet is approved the system automatically applies the appropriate reporting codes. 

  • Can time in lieu be recorded in the timesheet?

    Yes. When a timesheet is approved system can update Time in Lieu balance. It can also apply multiples based on the times worked, days worked and/or public holidays, for example you may get time and half back for working on a public holiday. 

  • Can work patterns be updated from the time worked?

    Yes. Can be used to update the work patterns in Activ Absence and recalculate the annual leave allocation based on actual hours worked rather than scheduled hours.
